Cook and Cheek CPAs, PLLC ("we," "us") is a CPA firm at 302 Falls Street, London, Kentucky 40741, phone (606) 877-2654. This policy explains how we collect, use, share and protect the personal information of our clients and of anyone who contacts us, including by text message. We do not sell personal information.

Information we collect

We collect what we need to do the work you hire us for:

From you: names, addresses, phone numbers, email addresses, Social Security and taxpayer ID numbers, dates of birth, income, bank and financial account information, payroll and employee records, tax documents and business records.
From others, with your permission or as the work requires: for example IRS and state tax notices and transcripts, statements from your bank or payroll provider, and records from a prior preparer.
Messages you send us: emails and text messages, including any pictures or attachments.
Our website: the site does not ask for personal information. If you contact us through it, we receive what you choose to send. Our website host may record basic technical information, such as browser type and pages visited, to run and protect the site.

How we use information

To prepare tax returns and other filings, keep books, run payroll and provide the other services you engage us for.
To contact you about your account: document requests, reminders, status updates, appointment details and answers to your questions.
To confirm your identity, including one-time login codes for our client systems.
To bill for our services, meet legal and professional requirements, and guard against fraud.

We do not use your information to market other companies' products, and we do not sell it.

How we share information

We do not sell, rent or trade personal information. We share it only:

With tax and government agencies, when we file returns and forms for you or when the law requires it.
With service providers that help us do the work, such as tax and accounting software, e-filing, payroll and direct deposit processing, secure document storage, email, text messaging and IT support. They may use it only to provide those services to us and must protect it.
With people you ask us to share with, such as your lender, attorney or financial advisor, with your consent.
When required by law, a court order or professional standards.

As CPAs, we follow Kentucky law and professional rules that limit what we may disclose about clients without their consent. Text messaging consent is never shared; see Text messages below.

Text messages

Cook and Cheek CPAs texts clients from the firm's text number about their own accounts. We do not send marketing texts.

What we send: document and signature reminders, return and payroll status, appointment details, answers to questions you asked us, and one-time login codes.
How you agree to texts: by giving us your cell phone number on our client intake or engagement form and agreeing to receive texts, or by texting our number first.
How often: message frequency varies with your account.
Cost: message and data rates may apply, depending on your wireless plan.
To stop: reply STOP to any text. You'll get one text confirming you're unsubscribed, and we won't text you again unless you reply START. You can also tell us by phone, email or in person.

Wireless carriers are not liable for delayed or undelivered messages.

Your mobile information is not shared. We do not share mobile phone numbers with third parties or affiliates for marketing or promotional purposes. All of the sharing described in this policy excludes text messaging opt-in data and consent: this information will not be shared with any third parties, except the text message service providers that deliver our messages.

How we protect information

We protect client information with administrative, technical and physical safeguards, as federal rules require of tax and accounting firms. These include limiting access to staff who need it, multi-factor sign-in on our systems, and secure ways to send and receive documents.

Please don't send sensitive information by text or regular email. Texts and ordinary email are not secure. Don't text or email Social Security numbers, bank account numbers or tax documents. Ask us for a secure upload link instead.

If a security breach affects your information, we will notify you and the authorities as the law requires.

How long we keep records

We keep client records, including emails and text messages, as long as the law and professional standards require and as long as we need them to serve you. Then we destroy them securely. Our text message provider's copies of messages are deleted after delivery.

Your choices

Stop texts at any time by replying STOP.
Ask us what information we hold about you, or ask us to correct it.
Tell us whom we may share your information with.

We may update this policy. The "Last updated" date at the top shows the current version.
